Senior Executive Assistant and Officer Coordinator
Full‐time Fixed‐Term position at HEW Level 7 until 20 December 2026. Parramatta South campus with flexible working arrangements. Salary $107,053 – $115,469 per annum, plus 17% Super and Leave Loading.
Provide high‐level executive support and office coordination for the Director, Centre for Western Sydney.
Responsibilities
* Manage the Director's diary, travel and meetings to meet strategic priorities.
* Prepare and coordinate briefings, reports, correspondence and meeting documentation, including agendas, minutes and follow‐up actions.
* Maintain governance records and administrative documentation using SharePoint; support internal reporting frameworks and keep the Centre's priorities and progress visible.
* Oversee day‐to‐day office operations, ensuring administrative systems, supplies and workflows run efficiently.
* Manage procurement, contracts and compliance activities in line with University policy; support financial and HR administration including purchasing, invoicing and budget tracking.
* Coordinate strategic events, workshops and stakeholder engagement activities involving University leadership, government agencies, industry partners and community organisations.
Success Indicators
* Diary, travel and meetings are managed to meet strategic priorities.
* Briefings, correspondence, acquittals and reports are delivered to a high standard.
* Governance records, minutes and actions are maintained and tracked in SharePoint.
* Procurement and contract processes meet University policy and compliance obligations.
* Events, workshops and stakeholder engagements are coordinated end‐to‐end.
Qualifications & Experience
* Extensive experience providing high-level executive support in a complex organisation.
* Proven office coordination skills managing deadlines, priorities and confidential matters.
* Experience managing procurement, contracts and compliance within governance frameworks.
* Strong written and interpersonal skills for briefs, reports and senior stakeholder liaison.
* Proficiency in Microsoft Office and systems such as SharePoint and finance/HR platforms.
