About the role

- The Branch Coordinator role sits within the Directorate of the Communications and Engagement Branch which provides advice and support to the Chief Communications Officer (CCO) and the Executive group to ensure efficient and effective operations of the branch.
- Reporting to the Strategic Adviser and working closely with other members of the Directorate, the Branch Coordinator provides high‑level professional support and assistance to ensure the productive running of the CCO office, Directorate and Branch. They deliver a range of administrative, financial, procurement, recruitment and coordination tasks and projects.

How you’ll make a difference

- Provide a range of effective executive support functions for the branch executive group including supporting end‑to‑end recruitment, oversight and management of the Directorate inbox, assisting the branch with the processing and onboarding of labour hire engagements.
- Support the management of financial and procurement activities related to contracts, vendor management and vendor payments, in alignment with departmental policies and procedures.
- Undertake temporary and back‑up Executive Assistant duties for the Chief Communications Officer by providing high‑quality executive and secretarial support services. This includes:
- email and calendar management, providing administrative services to support internal and external meetings and events, meeting coordination, tracking of correspondence and the coordination of information flow in and out of the office.
- coordination of meeting papers and talking points for CCO attendance at Executive Board, Executive Board Sub Committee meetings, Committee meetings and forums
- anticipating and delivering pro‑actively on requirements in a time‑pressured environment.
- Liaise with senior executives and government officials, answer queries, provide timely advice, undertake follow up action and identify emerging administrative functions, pre‑planning and evaluation of scope. Operate with confidentiality, discretion and a high‑level of integrity and autonomy in managing communication between executive staff and their offices and with key stakeholders.
- Identify and appropriately escalate issues having regard for political and environmental sensitivities and interrelationships of stakeholders and the integrated nature of program and service delivery activities.
- Draft documents including reports, letters, memos, procurement contracts and emails within prescribed timelines, of a standard suitable for external distribution for final presentation so as to achieve consistency of quality, professionalism and relevance of responses.
