Primary objective
Supervise the Administrative Assistant and oversee administrative support to Government House, while providing direct high level executive support to the Official Secretary and the Administrator of the Northern Territory. This role reports to the Deputy Official Secretary.
Context statement
Government House staff support the Administrator of the Northern Territory to perform Statutory, Ceremonial and Community duties. A key function of the Executive Support Officer is to oversee the day-to-day administrative support to the team while providing high level executive support to the Official Secretary and the Administrator.
Key duties and responsibilities
In liaison with the Community Engagement Team, coordinate all Courtesy Calls with the Administrator and manage the Administrator's diary, resolving conflicting demands and negotiating the rescheduling of meetings and appointments where appropriate. Provide the Administrator with a diverse range of administrative and technology support as necessary.
Provide support to the Official Secretary, including diary management, resolving conflicting demands and negotiating the rescheduling of meetings and appointments where appropriate, including the coordination of travel arrangements, booking accommodation and preparation of itineraries as required; ensuring compliance with relevant legislation, policies and procedure.
Prepare, assess, and prioritise complex correspondence with attention to detail, including email management and telephone administration, acting as the first point of contact for the Administrator and Official Secretary.
Supervise the Administrative Assistant to ensure the broader Government House team is provided with records management and corporate support including preparing and distributing general correspondence, procurement, purchasing and payments in-line with Government policies and coordinate ICT maintenance.
Maintain strong relationships with senior management, branch heads and staff within the Northern Territory Public Sector, as well as other public and private sector agencies.
Support the broader Government House team through the timely delivery of a range of executive, administrative and corporate support services, including secretarial support where required to Government House meetings and committees.
Undertake assigned projects or related project tasks as assigned by the Deputy Official Secretary, to identify and contribute to the development and implementation of streamlined administrative processes, procedures and systems to support the effective operations of Government House.
Selection criteria
Essential
Demonstrated experience in providing a range of high-level executive, secretarial, IT and broad administrative support services in a high pace and dynamic environment.
Advanced skills and experience in word processing, correspondence tracking, databases, electronic document management systems and electronic communication applications including MS Office software.
Strong time management skills and the ability to manage multiple projects and work activities effectively in a high-volume work environment with competing demands and priorities.
Demonstrated high level oral and written communication skills with the ability to communicate professionally, tactfully, and effectively at all levels, including people from diverse cultures, and handle confidential and sensitive matters.
Demonstrated ability to work within a team environment, the ability to act autonomously and with initiative and work outside normal hours of business when required.
Personal qualities of reliability, integrity, discretion, and confidentiality.
Desirable
Strong knowledge and appreciation of the role of the Administrator of the Northern Territory.
Knowledge of machinery of Government.
Interest in local and national current affairs.
