About this role
As an Executive Assistant or Personal Assistant in the Financial Advisory Team, you will play a key role in the effective day-to‐day operations of the team and provide intuitive support, displaying a high level of initiative, multi‐tasking and adapting quickly to last‐minute change. You will proactively anticipate the needs of your stakeholders before and as they arise.
Please note this is a maximum term contract opportunity ending mid October, 2026.
Key responsibilities
* Provide high‐level administrative support to three Partners/Principals and the broader Financial Advisory Team
* Complete client onboarding through Salesforce
* Manage inboxes, calendars, scheduling, and meeting coordination
* Arrange domestic travel, accommodation, and itineraries as required
* Process Partner expenses in Concur
* Organise internal meetings, and assist in organising client/referrer and team events
* Prepare and finalise client documents, letters, and proposal materials
* Manage and maintain databases and systems, including regular updates in Salesforce CRM
* Assist with Business Development including proposal preparation, contact mapping and tracking of business development activities
* Support monthly billing processes
* Provide general administrative and ad‐hoc support as required
Skills and experience
* Previous experience as an Executive Assistant or Personal Assistant within a corporate or professional services environment
* Strong written and verbal communication skills, with a positive approach to teamwork and the ability to collaborate with and manage expectations of stakeholders at all levels
* Highly organised, with the ability to multi‐task and work effectively under pressure
* High degree of accuracy and attention to detail
* Ability to learn new systems quickly
* Proficiency in Microsoft Office applications, including Outlook, PowerPoint, Teams, and Word
