About the Role
As our Business Support Coordinator, you'll be the go-to person who keeps our day-to-day office operations running smoothly. Working closely with key stakeholders, you'll bring order, pace, and care to office administration, facilities coordination, and the employee experience. You'll provide administrative support including onboarding and off‐boarding, as well as coordinating engaging internal events and communications. You'll assist in maintaining safe, welcoming, and well‐managed office environments across our Australian locations.
Key Responsibilities

Office & Facilities
* Keep our offices running smoothly across Australia, coordinating maintenance, supplies, vendors, and logistics.
* Support office moves, fit‐outs, and desk booking systems.
Business Support & Reception
* Act as the first point of contact for office enquiries and visitors.
* Manage reception duties including calls, mail, couriers, and meeting room coordination.
* Support the Executive Leadership Team with day‐to‐day admin tasks.
* Maintain clear, timely office communications.
Work Health and Safety & HR Support
* Coordinate WHS activities and maintain record keeping.
* Support onboarding and off‐boarding.
Events & Coordination
* Organise staff events, workshops, and internal meetings.
* Provide general administrative support across the business.
Vendors & Travel
* Manage vendor relationships, contracts, and purchase requests.
* Oversee the corporate travel platform and assist with group corporate travel bookings.

Qualifications and Experience
* Demonstrated experience in administrative or office coordination roles, with the ability to keep the office organised, responsive, and running efficiently.
* A proactive, customer‐focused mindset, you anticipate needs, solve problems early, and make the workplace experience better for everyone.
* Clear, professional communication skills, both written and verbal, with the ability to engage comfortably with people at all levels.
* Exceptional attention to detail, whether you're managing suppliers, preparing events, or coordinating travel.
* Highly organised and calm under pressure, able to juggle competing priorities across multiple locations.
* Experience coordinating meetings or small events, from catering to logistics.
* High levels of integrity, discretion, and confidentiality.
* A collaborative working style, building strong relationships with internal teams, vendors, and service providers.
* Strong Microsoft Office skills and confidence learning new systems (e.g., travel platforms, desk booking tools, Workday).
* Flexibility to support occasional after‐hour events or national travel when required.
* Commit to attending office 5 days a week, to support the requirements of our head office.
* A cleared police check prior to commencement.
* Current permanent and full‐time working rights in Australia.
