Tibra is looking for a proactive and highly organised Office Administrator to become the face of our Asia offices. This is a hands‐on, broad role where you will underpin the daily employee experience and ensure our Austinmer and Surry Hills offices operate at the high standard our team expects.

The Role
As our Office Administrator, you are the centre of the office. You'll juggle everything from high‐level event planning and travel coordination to the essential day‐to‐day operations that keep our team moving and performing at their best.
Key responsibilities
* Front of House: Managing reception, shared inboxes, and ensuring meeting rooms are always neat and tidy
* Office Operations & Vendors: Running the rhythm of the office (supplies, mail, maintenance) and acting as the primary contact for all building and equipment vendors.
* Catering & Employee Experience: Coordinating our lunch programs, grocery supplies, and wellbeing initiatives (birthdays, monthly awards, staff gifting).
* Events: End‐to‐end delivery of core social events, hackathons, board meetings, adhoc off‐sites and charity fundraisers.
* Travel & Logistics: Managing complex travel bookings and insurance in line with our global travel policies.
* Onboarding: Ensuring every new starter has a seamless first‐week experience.
* Finance & approvals - Reconcile the company card monthly, maintain vendor payment details and follow the delegation and expense approval policy.
* Health, safety & wellbeing - Act as a First Aider and Fire Warden (training provided) and ensure first aid and amenity supplies are maintained.
What you'll bring to the team
* Experience: 3+ years in office administration, EA, or front‐of‐house roles (ideally within professional/financial services or tech).
* Dual‐Site Capability: A current Australian driver's licence and the willingness to travel between Austinmer and Surry Hills. Austinmer is the primary office.
* Organisation: The ability to stay calm and focused while juggling competing priorities across two locations.
* Tech Savvy: Proficiency in Microsoft 365 and experience with ticketing/expense platforms.
* Mindset: A "quality-first" approach—you notice the small details others miss, and you fix them.
* Discretion: Sound judgement and a trustworthy approach to confidential information.
* Safety: Experience as a First Aider/Fire Warden is a plus (though we will provide training!).
