Project Officer

Location: Parramatta (Hybrid working arrangement)

Employment type: Ongoing Full Time

Salary: Clerk Grade 7/8 ($113,574 - $125,720 pa), plus employer's contribution to superannuation and annual leave loading

Your role

As a Project Officer, you will provide high‐level executive and business support to the Director and Senior Managers within a shared services team that supports multiple functional portfolios, including Security, Change management, Information technology, Design, Fleet, Insurance and Property maintenance.

You will contribute to the effective coordination of operations, people and projects by managing executive workflows, schedules, communications and maintaining strong governance and records management practices.

Working with a high degree of autonomy, you will manage competing priorities across diverse functional portfolios, and within a matrix management structure, ensuring activities are delivered accurately, efficiently and in line with organisational requirements.

This role is suited to a proactive and organised professional who can anticipate executive needs, exercise sound judgement and build productive working relationships across a complex, matrix, customer‐focused operating environment.

What you'll do

In this role you will:

* Providing high‐level executive support to the Director and Senior Managers, including diary and calendar management, meeting coordination and prioritisation of commitments
* Supporting the coordination of activities across shared service functions, including security, change management, IT, design, fleet, insurance and property maintenance
* Coordinating executive, team and project meetings across multiple service streams, including meeting documentation, capturing decisions and action items, and monitoring follow‐up to support accountability
* Managing travel coordination and bookings, within DCJ travel policies, to support operational and project requirements
* Supporting staff engagement initiatives, including planning and coordinating communications, events and team activities
* Supporting project delivery through monthly reporting, coordination, action tracking
* Coordinating recruitment and establishment actions, including staff onboarding and induction activities to ensure a consistent, well‐supported commencement experience across the shared services model
* Supporting governance and compliance activities through accurate recordkeeping and document control
* Building effective relationships with internal stakeholders to support clear communication, coordinated service delivery and timely outcomes

What we're looking for

We are seeking a motivated and highly organised professional with demonstrated experience providing high‐level executive and administrative support to senior leaders in a dynamic, shared services environment. You will have strong coordination and prioritisation skills, with the ability to manage multiple work streams across diverse functional areas.

You will bring experience supporting project delivery through effective administration, action tracking and documentation management, along with the ability to coordinate staff engagement activities, onboarding and induction processes. Sound judgement, attention to detail and experience managing confidential information and maintaining accurate records in Miniapp, TRIM is essential, as a working understanding of travel and employee related policies and well‐developed communication skills, strong digital capability and a proactive, flexible approach to meeting changing priorities.

This position is based in Parramatta and requires a minimum of 50% office attendance, in line with the NSW Government Sector workplace presence policy (C2024-03).

This role involves essential travel across the state to further support Specialist Operations teams project delivery.
