Employment Type: Part time 25 hours per week (4 days) | 12-Months fixed term.
As ourState Administration Assistant, you will work closely with the State Manager to ensure the smooth and efficient operation of our State Leadership Team.
Your strengths in office coordination, communication, correspondence management, report and paper preparation, and event support will help our leaders deliver high‐quality outcomes across our Vic East centres.
This role is 25 hours per week, with your weekly schedule to be negotiated. You will be required to work from the Centre Support Office located in Port Melbourne, and to accompany the State Manager to meetings and travel as needed.
About the Role
* Answer internal and external enquiries which come through all communication channels.
* Manage confidential and highly sensitive information in a professional and discreet manner.
* Ensure all stakeholders are given regular updates in relation to state issues, meetings and events.
* Prepare reports, presentations and proposals as required, with a strong attention to detail.
* Organise meetings and seminars for internal and external stakeholders, including arranging catering and preparation of relevant documents.
* Arrange travel and accommodation bookings for the State Management team where required.
* Maintain records and file reports, correspondence and related material for ease of retrieval.
* Collate reports, complete data collection and maintain an efficient and effective electronic filing system for company records.

You'll bring to the table
* Experience in a dynamic and fast‐paced assistant position within a multi‐site, human service‐related organisation.
* Excellent written, verbal communication and organisational skills, with attention to detail and ability to manage conflicting deadlines.
* Experience working across multiple levels within an organisation and communicating confidently and effectively with stakeholders at all levels.
* Advanced ability using Microsoft Word, Excel and PowerPoint. Experience with Microsoft Teams.
* Exceptional attention to detail and extreme organisation.
* Ability to engage and influence others.
* Previous experience within the Early Learning Sector (desirable).
* Completion of Certificate III in Business Administration or equivalent (desirable).
* Current VIC Working with Children Check.
