Practice Manager Job Duties:

* Oversees daily practice operations, including diary management, financial procedures, cleaning, security, and occupational health and safety
* Leads and supports a team of administrative staff
* Liaises with clinicians and administrative staff to ensure they have necessary support
* Works with the Director and third parties to develop business strategies and client services
* Generate reports regarding both clinical and financial performance (software available)
* Designs, implements, and updates workplace procedures and policies in line with practice growth
* Coordinates the sourcing of office supplies & equipment
* Manages client record processes and IT systems including liaising with external data services
* Evaluates appointment procedures and client services for improvement strategies
* Coordinates training and supervision of new administrative employees
* Coordinates commencement of student placements and new staff including contract drafting
* Interacts with clients and gains customer feedback about the practice
* Addresses client complaints in a compassionate and timely fashion
* Liaises with the resident media expert regarding the production of company brochures, newsletters, and other correspondence
* Performs ad hoc administrative duties in the event of leave or illness

* Quick learner with comprehensive problem-solving skills
* Good communication skills with a clear, confident and professional manner

* Strong management experience and leadership skills
* Able to work with both a clinical and administrative team
* Some experience with basic budgeting, payroll, and simple account keeping tasks
* Trust-worthy and honest. Professional manner but warm and friendly
* Flexibility and willingness to adjust hours to complete some work after hours
* Client focused with a sound understanding of confidentiality and privacy
* Computer literacy including experience with Word, Excel, Xero and Zanda (we can teach you Xero and Zanda)
* Able to work autonomously with self-direction and limited supervision
* Willingness to source and complete professional development relevant to the field and role
* A willingness to learn, accept feedback and get stuff done
* Health and safety knowledge including a current first aid certificate
* DCSI clearances
