Administration Officer - Finance

Mary MacKillop Primary School is situated in Narre Warren North, which is situated around 30 kilometres South East of Melbourne, falling within the city of Casey, on the lands of the Bunurong People. Narre North is a beautiful area with a rapid developing community and a lot to offer.

About the Role

Mary MacKillop Primary School has an enrolment of 297 students. The school opened in 1995 and we are proud of our modern student and staff facilities. Our staff are supported to ensure a healthy work/life balance.

We are seeking a vibrant and skilled Administration Officer - Finance to join our team.

The Administration Officer is a primary customer service contact for the school, supporting the delivery of reception and administration for Mary MacKillop Primary School. The administration team work collaboratively to support the principal and school community.

This is a 5 day a week position from Monday to Friday commencing at 8.15am and finishing at 3.45pm, during school term time only (FTE 0.93)

Commencement Date: Tuesday 27 January 2026

Duties and responsibilities will include but are not limited to:

Child Safety and Wellbeing:

- Providing students with a child safe and welcoming learning environment
- Comply with Child Safe Policies, Code of Conduct and Child Safe Standards
- Proactively monitor and support student safety and wellbeing
- Exercise pastoral care in a manner which reflects and upholds the school’s values
- Implement strategies that promote a healthy and positive learning environment
- Demonstrate Duty of Care to all students in relation to physical and mental wellbeing.

Administrative duties of the school office:

- Provide informed and friendly customer service to all students, parents/guardians and wider school community
- Ensure school visitor processes are followed in line with school policy and Child Safety requirements as required
- Provide administrative assistance to the Principal as directed
- Provide administrative assistance to school staff as directed by the Principal
- Attend to ill students and administer first aid as required
- Assist with administration of student attendance data through learning management systems as required
- Review and coordinate updates as part of the Risk and Compliance framework
- Administration and induction of contractor engagements as directed by the Principal
- Assisting with Workcover claims and providing administration support to employees during return to work
- Handle confidential information in an appropriate manner
- Attend staff meetings when required
- Other duties as directed by the Principal

Accounts receivable function:

- Receive and receipt monies payable to the school enduring appropriate cash handling and banking procedures are maintained
- Preparation and maintenance of school fee direct debit schedules
- Administration of the application processes for Camps, Sports, Excursion Fund (CSEF), Conveyance Allowance and other applicable grants
- Administration of school fee concessions
- Administration of school fee debt collection

Accounts payable function:

- Processing of invoices for purchase of supplies for the school
- Payment of invoices in a timely manner

Payroll function:

- Prepare and review fortnightly payroll variations to be submitted for central processing
- Liaise with DOSCEL Secretariat School Payroll service regarding payroll and associated matters
- Provide accurate information regarding payroll and associated matters to the Principal and other school staff
- Distribution and collection of staff employment correspondence including employee letters of appointment, employment variations, long service leave, parental leave and resignations.
- Provide support for the advertising and onboarding of new employees
- Maintenance of employee leave records
- Assist with the collation of WorkCover Premium return data
- Assist with the collation of Fringe Benefits Tax return data

Preparation and maintenance of school financial records:

- Ensuring Fringe Benefits Tax return is lodged and applicable follow up completed
- Review monthly Business Activity Statement
- Enter data for bank reconciliations on a weekly basis for the general bank account and a monthly basis for all other school accounts including Parents and Friends account, credit card and, if applicable, term investments
- Maintenance of school asset register
- Collation of financial documents for budgeting purposes, annual financial reporting and external audit.

Salary range: Salary earning, $56,019 - $71,742

Salary increases each January and July (Diocese of Sale Catholic Education Limited Schools and Secretariat Agreement 2022)

Essential Knowledge and Experience:

- Extensive experience with payroll/human resources functions
- Excellent interpersonal and communication skills
- Experience in financial procedures including accounts receivable and month-end reporting
- Sound knowledge of relevant accrual accounting practices
- Advanced computer skills and knowledge including experience in financial programs, Microsoft Word, Excel and Internet Applications.
- Strong organisational skills and ability to manage time effectively
- Ability to prioritise work
- Friendly and approachable manner
- Ability to work as part of a team whilst still accepting responsibility for your own tasks.
