Role Description
The Princess Pictures Executive Assistant/Office Manager is responsible for providing support to three executive‐level team members while facilitating the day‐to‐day running of the office. Your responsibilities will focus on general administration support, production objectives and the production environment. As the primary point of contact for all external and internal queries and requests, you will foster close working relationships and liaise with various departments and across multiple time zones.
You will execute studio tasks autonomously and at the directions of the executive team members and are encouraged to drive the overall positive experience of the studio's company's employees.
Production Assistance
* Coordinate with Producers and leaders to ensure success in production planning including the creation of agendas, drafting of email correspondence, scheduling shoots, booking locations, client and crew management,
* Effective management of diaries, ensuring time is well‐allocated for critical work or travel, pre‐empt meeting preparation requirements and scheduling/rescheduling/declining meetings as new matters arise or priorities change and communicating issues promptly,
* Ownership of studio meetings, including scheduling, setting up appointments, presentations, training, conferences and managing meeting rooms, liaison between external providers and attendees, travel coordination, catering etc.
* Undertake note taking for rooms and minute all meetings attended relating to your work or as requested by the leaders,
* Ensure tasks are fully completed and close the communication loop with all stakeholders to provide clear, timely updates and resolutions.
* Actively learning and developing in role, working towards assuming more development responsibilities over time.
* Building relationships and effective communication with clients, agents, talent and production teams for logistical and scheduling purposes.
* Assisting the finance team by tracking and filing purchases and invoicing on a per‐project basis.
* Support the submission process by coordinating materials, meeting deadlines, and ensuring accuracy in all content delivered.
Company Support
* Provide administrative support to the broader team to ensure the smooth operations of the company
* Provide basic computer & technical support to resolve issues e.g. calendars not syncing, file permissions management & basic advice on software and systems.
* Proactively identify and implement ways to improve processes and systems.
* Updating and maintaining company databases and providing help with marketing tasks, including social media management, email marketing, and content creation for websites.
* Research, recommend and acquire all office equipment and stationery.
* Facilities management: ensuring maintenance, safety, and functionality of the physical space while managing vendor relationships and addressing facility needs.
* Managing all domestic and international travel and accommodation needs of the senior leaders.
* Maintaining a register of birthdays and organising gifts/celebrations where approved by the Managing Director,
* End‐to‐end Events Management; including planning, scheduling, budgets catering, travel and third‐party liaison. Working with the studio support team at Princess Bento (if/when required) and ensuring all elements are sufficiently considered and executed effectively including post‐event activities.
