Position Summary
Support the Molecular Pathology Laboratory by providing day‐to‐day administrative support, ensuring high‐quality molecular services for patients and external clients.
* Input and extract data and produce reports from multiple clerical systems.
* Analyse information to share it clearly and accurately within established procedures and protocols.
* Maintain factual system content while performing standard transactions.
* Collaborate with colleagues to achieve work‐area outcomes.
* Provide induction training for new staff at this level.
* Understand hospital systems, procedures and information requirements to support the public and internal staff.

Key Accountabilities
1. Database entry of patient requests/information into pathology laboratory systems
* Prompt and accurate data entry using relevant pathology‐related programs and functions.
2. Sourcing and receipting of pathological specimens for testing from external laboratories
* Accurate, timely request, follow‐up and distribution of pathological materials.
3. Screens incoming telephone calls and directs telephone enquiries
* Ensures phone coverage and appropriate call referrals.
4. Maintenance of filing systems, general departmental and specimen slide filing
* Accurate filing to facilitate fast retrieval.
5. Organise and send patient reports
* Manage printing, faxing and distribution of patient reports as needed.
* Take minutes of meetings and other events.
* Assist staff in organising and coordinating meetings.
* Distribute mail, including timesheets.
* Organise documents for sign‐off.
7. Prioritises work in response to departmental needs
* Complete all tasks within specified time frames.
8. Works as part of a team
* Provide team support and demonstrate team‐and‐oriented behaviour.

About the role
The Molecular Pathology Administrative Team acts as a bridge between internal and external stakeholders and supports medical scientists, laboratory staff and leadership. A regular day will include report issuing, taking phone calls, responding to emails, liaising with clinicians, scientists and laboratory staff, and inbox and meeting management.
