We are currently seeking applications to fill a job share vacancy in the position of Executive Assistant – Infrastructure, at Council's Doyles Road Complex.
This is an exciting opportunity to gain exposure to a number of areas across the organisation.
This position plays a crucial role in providing high level executive support to the Director and Infrastructure Leadership Team and requires strong communication and organisational skills.
You will be required to manage the Director's schedule, coordinate meetings, prepare reports, and handle correspondence. The ideal candidate will be highly organised, discreet, and capable of working independently in a dynamic environment.
Key Responsibilities
* Administrative Support:
o Manage the Director's calendar, schedule meetings, and coordinate appointments.
o Prepare and proofread correspondence, reports, and presentations.
o Organise and prioritise incoming emails, phone calls, and other communication.
* Meeting Coordination:
o Schedule, organise, and facilitate meetings, including preparing agendas and taking minutes.
o Ensure follow-up actions are completed and track progress on decisions made during meetings.
* Documentation and Reporting:
o Prepare, format, and distribute various documents and reports as required by the Director.
o Maintain and organise departmental files and records, ensuring accuracy and confidentiality.
* Stakeholder Management:
o Serve as a liaison between the Director and internal/external stakeholders.
o Coordinate and manage interactions with Councillors.
* Operational Support:
o Handle travel arrangements and accommodation bookings for the Director.
o Manage departmental supplies and equipment, ensuring they are stocked and functional.
* Confidentiality and Discretion:
o Handle sensitive and confidential information with the utmost discretion and professionalism.
Skills
* Proficiency in Content Manager and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
* Excellent organisational and time-management skills.
* Strong written and verbal communication abilities.
* Ability to multitask and work under pressure.
* Attention to detail and accuracy.
* Strong interpersonal skills with the ability to interact effectively with various stakeholders.
