Governance and Executive Administration Officer
Provide dedicated executive administrative, logistical and compliance support, ensuring the efficient coordination and execution of KLCs governance processes. The role contributes to maintaining the integrity of governance activities and executive administration, while supporting transparency, accountability and regulatory compliance.
This position is responsible for coordinating and delivering governance activities in line with established frameworks and standards. It facilitates effective governance processes but does not make governance decisions.
About the Role
The position operates out of Broome KLC office.
Governance Administration
* Plan and coordinate logistics for the Executive Board and Representative Council meetings including venue, travel and accommodation arrangements for attendees and budget management.
* Provide end-to-end high level administrative support for Executive Board meetings, Representative Council meetings and other committee meetings by supporting the preparation of papers and ensuring timely circulation of agendas, minutes and reports (as directed by the Senior EA).
* Assist to prepare meeting packs and reports and provide administrative support during meetings, including minute taking when required.
* Maintain and update governance records to support corporate compliance.
* Maintain KLC Members' database and member records.
* Coordinate the submission of compliance reporting documentation (collate required information, prepare drafts, and support submission processes) and maintain records of submissions/updates for reporting.
* Coordinate Board member attendance at the AGM (as directed by the Senior EA).
Administration Support to CEO Office
* Support the Senior EA to organise travel and other arrangements for the CEO, DCEO and Chairperson and prepare briefing files as requested.
* Provide meeting and travel coordination support for the Chairperson, Deputy Chairperson, Senior Management Team and others when accompanying the CEO or as directed.
* Provide ad hoc administrative support to the Senior Management Team as required during peak periods.
* Provide Executive Administrative support to the CEO in the absence of the Senior EA as required.
* Maintain and update executive files and documentation for the CEO (and Chairperson where directed).
Occupational Safety and Health
* Maintain a safe workspace and actively contribute to the health and safety of the workplace by adhering to all health and safety policies and procedures.
Compliance
* Comply with all internal KLC policies and procedures and ensure the team's adherence.
* Demonstrate an awareness of and commitment to the KLC Vision and its Values.
Other
* Perform other duties consistent with the role as directed by the CEO, DCEO or Senior Executive Assistant.

* Certificate in Business Administration (or related field) and/or a minimum 5 years' relevant professional experience.
* Demonstrated administrative capability in supporting governance processes, including meeting coordination, documentation, records management and compliance.
* Excellent written and verbal communication skills with a proven ability to communicate and collaborate effectively at all levels.
* Demonstrated integrity, confidentiality and discretion, with the ability to use initiative and exercise sound judgement.
* Strong organisational and time management skills, with the ability to manage multiple priorities, meet deadlines and maintain a high level of accuracy under pressure.
* Strong technology skills, including proficiency in Microsoft 365 applications.
* Experience working with Aboriginal organisations and people.
* Ability to collaborate and work as part of a dynamic team and dedicated team.
* Willingness to travel as part of the role.
* Valid Driver's license.
* Police Clearance issued within 3 months of employment.
Desirable
* An understanding of board proceedings will be highly regarded.
