Overview
Melbourne Grammar School has an exciting opportunity for Community Engagement and Events Liaison to join and work collaboratively with the Community Relations team and Melbourne Grammar School community and its activities and groups. Encompassing Admissions, Development, Alumni and Community Relations, Marketing and Communications, and Archives, the Community Relations Office is the community's main entry point to the School.
The Community Engagement and Events Liaison is central to the operations of the Community Relations team, playing a crucial role in the development and delivery of an annual program of community events and activities, and being a friendly, helpful, and professional point of contact for various members of the community, including parent and alumni volunteers.
Working across a broad range of events, programs and communications, using excellent administrative and stakeholder relations skills, knowledge of systems, databases and a high level of attention to detail, this role has a diverse portfolio of responsibilities in relation to community engagement.
This is a 12-month contract position. Flexibility will be required to attend after-hours events for which time-in-lieu will be offered.
Responsibilities
* Assist the Community Relations team to achieve its goals through the coordination and delivery of an annual program of in person, digital and hybrid best practice community engagement programs, events, and activities
* Support the planning and delivery of the annual engagement program
* Run events and programs from start to finish including coordinating event logistics, guest speakers, volunteer management, managing suppliers, creating and managing project timelines, budgets, communications, and resourcing
* Maintain and build relationships with staff, alumni, parents, volunteers, donors, and other School community members, taking a high-level services approach to building and stewarding community relationships, particularly with Old Melburnians and members of Friends of Grammar
* Manage shared inboxes and calendar responding to enquiries in a timely and efficient manner
* Using the database and systems provided, maintain accurate and consistent records, and ensure all new information is updated and recorded in the database
Qualifications and Requirements
* Must hold, or be willing to obtain, a current Employee Working with Children Clearance
* Strong administrative and stakeholder relations skills
* Knowledge of relational databases and systems, with high attention to detail
* Ability to work across multiple programs and events, including in-person, digital, and hybrid formats
* Flexible availability to attend after-hours events as required
