IFYS is seeking a Fleet Administration Assistant to join the Fleet team based in Warana. The role provides timely and accurate administrative support for day‐to‐day fleet management, acting as the key point of contact for fleet-related inquiries, coordinating vehicle servicing and compliance activities, and ensuring accurate record keeping across all fleet systems.

Key Responsibilities
* Act as first point of contact for fleet inquiries, providing support and escalating complex issues as needed
* Assist with vehicle onboarding and offboarding—including procurement, registration, GPS, fuel cards and disposal
* Coordinate vehicle bookings and provide guidance on fleet usage policies and procedures
* Schedule and track servicing, maintenance, safety inspections, and repairs
* Support vehicle handovers and returns, including checks and documentation
* Maintain accurate fleet records across systems, covering servicing, registration, incidents and GPS data
* Monitor and follow up on incident reports, vehicle maintenance, damage claims and repairs
* Assist with processing and reconciliation of fleet‐related invoices
* Produce regular and ad hoc reports, identifying trends or irregularities
Requirements of the Role
* Experience in administration, logistics, fleet coordination or similar (desirable)
* Strong organisational and time‐management skills with the ability to manage competing priorities
* High attention to detail and accuracy in data entry and record keeping
* Proficiency in Microsoft Office (including Excel) and ability to navigate multiple systems, portals and databases
* Strong communication skills and ability to engage with a range of stakeholders
* Proactive approach to problem‐solving and continuous improvement
Must hold or be willing to obtain if successful
* Valid Queensland Driver's License with no restrictions
* QLD Working with Children Check (Paid Blue Card)
* Licensed Care Suitability Check (LCS2)
* National Crime Check (new check completed through IFYS system)
* Ability to provide two recent employer references (including current employer)
