THE ROLE
We are looking for a Business Analyst / Project Manager to join Project Lighthouse 2.0 as the day-to-day execution muscle behind delivery. You will report to the Project Lead and work directly with our CEO and project advisor, and partner closely with our soon-to-be-recruited Smartsheet Designer/Developer to build the integrated workflow and reporting tools at the heart of the program.
This is a hands-on, varied role spanning process design, project delivery, systems work and change management. You will be in front of the people doing the work — Strata Managers, Building Managers, Facilities Managers, Pod Leaders and the Finance team — and the people setting direction at the executive level.
KEY RESPONSIBILITIES
* Project office and delivery — task tracking, working group coordination, milestone management and fortnightly status reporting across active workstreams.
* Stakeholder engagement — work closely with the Project Lead, CEO, project advisor and subject-matter experts to surface requirements, unblock decisions and keep delivery moving.
* Process documentation and workflow design — capture current-state processes, design future-state workflows, and accelerate the development of standard operating procedures, checklists and templates.
* Integrated workflow tools, reporting and analytics — partner with the Smartsheet Designer/Developer to design and ship end-to-end workflow management tools, operational metrics reports and dashboards spanning Smartsheet, Resvu and PIQ.
* Change management and adoption — support the rollout of new processes and tools across pods and functions; build training materials and embed new ways of working alongside operational leaders.
* Quality and consistency — maintain documentation standards, ensure deliverables align across initiatives, and surface dependencies between workstreams.
WHAT YOU'LL BRING
Essential
* 5+ years' experience in a Business Analyst, Project Manager or hybrid role, with delivery of at least one substantial process improvement, systems implementation or digital workflow program.
* Strong process design and documentation skills — comfortable mapping current state, designing future state, and writing clear, usable procedures.
* Demonstrated ability to manage multi-stakeholder, multi-workstream projects with discipline of cadence, clear status and reliable follow-through.
* Excellent written and verbal communication — including facilitating workshops, presenting findings and translating operational complexity into clear deliverables.
* A systems mindset — comfortable across multiple platforms, with genuine curiosity for how tools fit together (or don't) and what good integration looks like.
* Must be Canberra based
Desirable
* Strata, property management, facilities or financial services industry experience.
* Hands-on experience with Smartsheet, Resvu, PIQ or similar workflow and customer engagement platforms.
* Change management training or certification (Prosci, ADKAR or equivalent).
* Experience in fast-moving SME or scale-up environments.
WHY THIS ROLE
This is not generic project admin. You will work directly with our CEO and project leadership on a clearly scoped improvement program with real momentum and executive sponsorship. The work spans process design, systems delivery, change management and stakeholder facilitation — variety that genuinely keeps things interesting, with deliverables that will leave Vantage materially better than they are today. A contract opportunity through to December 2026 with a defined plan and the autonomy to deliver against it.
