Our agency is in an exciting growth phase - we’re currently seeking a highly organised, proactive individual team member to step into this key support role. This position combines an equal blend of office coordination and executive assistance for our (2) Directors. Your planning, problem-solving and communication skills will shine as you keep the office running smoothly and work closely with our leadership team to maintain our positive and productive working environment.

This is a Part Time role (Monday, Wednesday, Friday), in-office at our Abbotsford location.

We deliver custom digital marketing solutions, all crafted in-house by our talented team. Our fantastic group of clients span across entertainment, beauty, health, finance and government.

Key Responsibilities:

* Keep our office looking sharp: tidy spaces, stock office supplies and maintain a professional, welcoming vibe.
* Admin support: meeting notes, invoice clients, maintain company directories, manage mail, answer intercom and greet guests, etc.
* Be the trusted go-to for our Directors, take care of ad hock business and basic personal tasks, allowing as much time as possible to focus on the business.
* Welcome visitors, offering coffees and light catering if required.
* Liaise and coordinate external company contacts, from trades to cleaners, to travel and gift vendors.
* Collecting/dropping off goods as required.
* Plan and coordinate internal events for the team (the fun stuff!) - birthdays, celebrations, social activities and our annual volunteer day.

About You:

* 3+ years in a similar role (Office Coordinator, EA, PA, Reception). Experience in a growing start-up environment will be advantageous.
* Supportive, self motivated, driven individual with an industrious nature and strong interpersonal skills. Can-do attitude and a readiness to assist others.
* Proven ability to effectively prioritise competing deadlines & communicate effectively on project progress.
* Discretion and confidentiality when dealing with sensitive or confidential information.
* Proficiency in using office Google Suite & Microsoft Office software (including Google Sheets, Gmail, Google Drive and Calendar).
* Drivers licence and access to your own vehicle, on Monday, Wednesday and Friday (car allowance provided).
