Primary objective
Provide high level office administration support, proactive coordination and advice to Programs and Projects managed by the Digital
Project Services (DPS) division in relation to divisional business management process and practices, including project capacity planning
and facilitating resource engagements.
Context statement
Digital Project Services delivers complex, high value, and high-risk ICT programs and multi-year digital transformation initiatives for core
frontline services through an inter-agency collaborative approach. Working closely with the client Agencies, the team comprises of public
sector employees and contractors working together to deliver multiple streams of activity as programs are implemented. The work
environment is dynamic, fast-paced and results driven with high expectations of superior service delivery.
Key duties and responsibilities
1. Work closely and collaboratively with Project Managers and Directors to understand project budgets and delivery timelines.
2. In conjunction with Project Managers and Directors, coordinate project resource planning and sourcing activities for various digital
Projects and Programs - including ascertaining specialist skillsets, forecasting capacity and capability requirements, preparing internal
approvals and facilitating acquisition and onboarding activities.
1. Collaborate in the development and implementation of best practice business support strategies and procedures, specifically
pertaining to a large and complex project work environment, prepare Standard Operating Procedures (SOPs) and user guidance
materials in support of administrative tasks.
1. Undertake a range of general office administration activities including, but not limited to, tier 1 and 2 procurements, office relocations
and facilities management, maintaining resourcing registers and preparation of a range of reports.
1. Develop and maintain effective partnerships across the Division, with inter and intra departmental stakeholders and external industry
vendor stakeholders, to support and enable continual workforce improvement.
1. Actively participate as a full member of the DPS team, contributing innovative ideas and solutions to all aspects of the business.
Selection criteria
Essential
1. Proven high standard of interpersonal, oral and written communication skills with experience in preparing high level documentation,
and ability to positively influence others through the provision of sound advice.
1. Significant experience in managing operational resource acquisition activities in a large, complex work environment, with a sound
understanding of project management principles.
3. Demonstrated organisational skills of a high order, be self-motivated and exercise initiative with ability to remain agile in a fast-
paced project work environment and complete tasks within required timeframes while maintaining attention to detail.
4. Proven skills in the effective use of software packages including MS Office, with ability to quickly acquire skills in Sharepoint
and other software systems.
5. Demonstrate reliability and high standards of professionalism and integrity to deal with sensitive matters with diplomacy, tact
and complete confidentiality.

Desirable
1. Qualifications in a relevant discipline such as human resource or business management, or equivalent experience.
2. Experience or sound understanding of the operating environment for business transformation IT projects in the public sector.
