Stafflink Workforce Management is a Queensland-based recruitment specialist providing temporary and permanent staffing solutions across a broad range of blue- and white-collar industries.
We are currently seeking an experienced Administration / Accounts Administrator on behalf of our client located on the Northern Gold Coast.
This role is ideal for a highly organised and proactive administrator who enjoys working in a fast-paced workshop environment.
You will play a key role in supporting workshop operations, coordinating parts administration, managing accounts processes, and ensuring accurate record keeping to support the maintenance and repair of a fleet of heavy vehicles and equipment.
Key Responsibilities
* Assist with interpreting and allocating parts required for workshop servicing and repair activities.
* Accurately enter daily parts transactions, stock movements, updates, and changes into the ERP system.
* Follow up sales orders, back orders, forward orders, stock transfers, credit notes, and general parts distribution in a timely manner.
* Manage parts administration including invoicing, receipting, and monitoring outstanding payments.
* Maintain equipment records, service histories, and work orders to ensure accurate documentation.
* Build and maintain strong working relationships with suppliers, contractors, and internal stakeholders.
* Raise purchase orders for stock requirements and ensure they are matched to relevant invoices.
* Provide regular updates to the Service & Maintenance Manager regarding parts availability and delivery schedules.
* Work closely with workshop personnel to ensure parts and stock are available for both scheduled maintenance and emergency repairs.
* Manage the workshop email inbox, action maintenance requests, coordinate contractor bookings, and communicate maintenance activities to relevant staff.
* Assist with parts collection and deliveries as required.
* Support general administration and accounts functions to ensure smooth day-to-day workshop operations.
About You
* Previous experience in an Administration, Accounts Administration, or Workshop Administration role.
* Strong organisational skills with excellent attention to detail.
* Experience using ERP systems and Microsoft Office applications.
* Ability to manage multiple priorities and meet deadlines in a busy environment.
* Strong communication and customer service skills.
* Experience working within a workshop, transport, fleet, construction, or industrial environment will be highly regarded.
* Reliable, proactive, and able to work both independently and as part of a team.
* Current driver's licence preferred.
