We are seeking a Project Administrator to join our friendly and dedicated team on the Inland Rail Albury to Parkes Enhancement Project in Forbes, NSW.
The Project Administrator role is key to our well‐functioning project office. The ideal candidate is friendly, enjoys working with others, is organised and efficient in completing tasks, and is happy to help out wherever they can.
While this is advertised as a full‐time position, we would be happy to discuss a reduced‐hours arrangement with the right candidate, such as school hours.
About the Role
* Oversee daily administrative operations for the project office including, but not limited to, scanning, filing, requesting purchase orders, receipting invoices and delivery dockets, and maintaining contact lists and asset registers.
* Maintain an accurate project roster, ensuring the roster is coded correctly according to the legend and changes are actioned efficiently.
* Assist in onboarding new employees in the office and on‐site, including setting up their desks, IT equipment, issuing PPE, providing an overview of office facilities, and general admin support.
* Work closely with the Travel team to coordinate ground transportation for personnel travelling in and out of the project each week with a focus on maximising use of shared transport and limiting LV transportation.
* Maintain stock of office supplies and stationery items.
* Assist the project team with data input, reporting, and document management.
* Prepare minutes, meeting notes, and internal support materials for meetings as requested.
* Provide any further administrative support to the team as required.
Skills and Experience
* Previous experience in an on‐site administration role in a construction environment highly desirable.
* Proficient in Microsoft Excel.
* Ability to maintain a well‐organised and efficient workspace.
* Effectively multitask and prioritise workload.
* Ability to engage in effective communication with a wide range of stakeholders.
* Consistently meet timelines and deliver on commitments.
* Display initiative and have a proactive approach to delivering the role.
About the Project
The Inland Rail Program is a 1,700km rail infrastructure project stretching from Brisbane to Melbourne, incorporating new and existing rail track. The program includes upgrading existing standard gauge track, enhancing it to cater for double‐stacking, and constructing new standard gauge links comprising viaducts, tunnels, rail track, crossings and bridges.
Works in the Albury to Illabo and Stockinbingal to Parkes sections involve extensive enhancements to specific sites across the 355km of existing track from Albury to Parkes. These enhancements will provide the necessary vertical and horizontal clearance along the existing Main South Line corridor to support the safe running of double‐stacked freight trains up to 1,800m long and 6.5m high.
