Position Overview
I am looking for a motivated Conveyancing Administration Assistant to assist with the property law side of our business. In this role, you will manage residential and commercial conveyancing matters from instruction through to settlement. You’ll directly support Emilia, to deliver a seamless client service. This role is ideal for someone with strong communication skills and enjoys the fast pace of conveyancing.
Key Responsibilities
* Manage end-to-end conveyancing transactions, including drafting contracts, preparing settlement statements, and liaising with clients, banks, agents, and other stakeholders.
* Review contracts and property searches, identify issues, and escalate where necessary.
* Coordinate settlements using online platforms (e.g., PEXA or equivalent).
* Maintain accurate and up-to-date client files, databases, and document management systems.
* Provide high-level administrative and paralegal support to the business owner.
* Communicate clearly and proactively with clients, ensuring excellent service delivery.
* Collaborate with Emilia to problem-solve and meet deadlines under pressure.
* Assisting with business sale and purchase transactions.
* Preparing retail and commercial leases.
Skills and Experience
* At least 12 months of experience in conveyancing (residential and/or commercial).
* Strong knowledge of conveyancing procedures and relevant legal documentation.
* Experience using conveyancing software and online settlement platforms (e.g., PEXA, InfoTrack).
* Excellent time management skills, ability to manage a high-volume workload and quick turnaround of matters.
* Strong attention to detail and accuracy in legal documentation.
* Exceptional communication and interpersonal skills.
* A proactive, can-do attitude and a genuine team player.
