We are seeking a motivated and personable Part time Receptionist to join the HCF Dental Centre Network in Melbourne for 6 months. This is a fantastic opportunity for someone with a passion for delivering quality customer service and supporting efficient dental practice operations. Purpose of the Role Maximise the number of patient appointments and manage the appointment book Handle incoming phone calls with professionalism Provide quality customer service to members and staff Raise accounts and process payments Comply with HCF Dental Quality Management System and HCF policies and procedures Support the Practice Manager and Dentist in Charge, fostering teamwork and efficient clinic operation Please note this a part time fixed term contract role for 3 days a week (Wed, Thursday and Fridays) for 6 months. Key Responsibilities Customer Service Deliver courteous, prompt and correct responses to all enquiries Answer the phone within KPI and efficiently manage calls in the queue Appointment Book Management Maximise patient appointments, minimise gaps Schedule, reschedule and cancel appointments as needed Perform follow-up calls for recalls and cancellations Confirm member eligibility and manage daily SMS/phone confirmations Monitor the appointment mailbox, responding within 4 working hours Front Desk Service Oversee patient activity in reception, maintaining a tidy and welcoming environment Process new arrivals, emergency patients and collect medical history forms Raise patient accounts, claim benefits and receipt payments Ensure correct patient departure processes (account payment, rebooking) General Office Functions Follow up gap account payments up to 30 days, recording actions Assist with refunds, credit adjustments and benefit issues Prepare attendance certificates, mail, banking, and end-of-day reports Archive and retrieve patient records, handle information release and referral letters Other tasks as allocated by Senior Receptionist or Practice Manager Skills, Experience & Qualifications Essential Neat appearance and professional personal presentation Competence in appointment booking and accounts systems Confidentiality, tact, and diplomacy Knowledge of Dental Centre systems Desirable Experience as a Dental Assistant, or a willingness to cross-train Knowledge of D4W software Familiarity with Microsoft Outlook, Excel, and Word First Aid qualifications Join Our Team If you are looking to contribute to a dynamic, patient-focused dental centre and have the skills and attitude to thrive in a busy reception environment, we would love to hear from you.
