- We are looking for a Junior Administration Assistant to support an existing Administrative team. You will be a multi-tasker who can jump in to assist wherever needed. This role will involve a variety of tasks, which are detailed below;**Responsibilities**:
- Follow up with trades for invoices and ensure timely payment processing.
- Assist in the accounts department with data entry, reconciliation, and other tasks as needed.
- Handle Community Housing invoicing, including processing a high volume of invoices accurately.
- Manage invoicing for smaller jobs and ensure all billing is completed accurately and efficiently.
- Collate information from contractors and upload it to client software, including Programmed VSBA school make safes.
- Assist with on-boarding of contractors and ensure all necessary paperwork is completed.
- Manage the vehicle fleet, including booking in servicing, monitoring fuel cards, and coordinating with RACV.
- Provide support to the admin team and accounts team with ad hoc duties as required.
**What you will bring to the role**:
- Previous experience in an administrative role, experience in the construction industry would be highly desirable but not essential.
- Strong multitasking abilities and proactive approach to work.
- Analytical skills to identify and flag inconsistencies in data.
- Ability to follow direction and work effectively as part of a team.
- Excellent communication and organisational skills.
- Proficiency in Microsoft Office suite and other relevant software.
