About the Role
The Service Coordinator plays a key role in keeping operations running smoothly. Reporting to the Service Manager and working alongside another experienced coordinator, you'll be responsible for managing and scheduling service activities, coordinating technicians, and ensuring clients receive timely updates and exceptional service.
This position is ideal for someone who enjoys a quick-paced environment, loves being the go-to link between clients and technicians, and thrives in a role where no two days are the same.

Key Responsibilities
Service Scheduling & Coordination

- Plan and schedule service jobs based on priority, technician availability, and location
- Raise new jobs, issue work orders, and update job systems
- Manage purchase orders and maintain accurate job tracking
- Coordinate emergency breakdowns and urgent service requests

Customer Communication

- Be the first point of contact for clients
- Provide clear updates on job progress
- Resolve scheduling conflicts and ensure a high standard of customer service

Job Management & Documentation

- Update and manage all active job statuses
- Verify job details, parts, compliance requirements, and documentation
- Assist in preparing job quotes and reviewing timesheets
- Process new NAB Transact customers

Resource & Inventory Coordination

- Coordinate dispatch of parts and materials
- liaise with suppliers
- Manage equipment allocation and track tools

Compliance & Safety

- Ensure all service activities meet safety and regulatory standards
- Assist with documentation for refrigeration and environmental compliance
- Organise SWMS, inductions, and relevant tickets

Vehicle Management

- Oversee fleet servicing schedules and maintenance
- Maintain accurate vehicle usage and GPS tracking records

Financial Administration

- Prepare and process invoices
- Assist with travel arrangements when needed

After-Hours Support

- Provide occasional after-hours assistance for urgent service needs

Skills & Experience

- Experience as a Service Coordinator or Administrator (Refrigeration, HVAC, Mechanical, or similar industry preferred)
- Strong organisational and multitasking abilities
- Excellent communication and problem-solving skills
- Confidence using service management software (Simpro highly regarded)
- Ability to work independently and prioritise effectively
- Valid Driver's Licence
- High attention to detail and robust documentation habits
