Primary objective
The Executive Assistant is responsible for providing high level administrative support to the Executive Director and Director of Police Legal, ensuring all administrative duties are undertaken in a timely and professional manner.
Key duties and responsibilities
1. Ensure a professional and productive approach to the management of services to the unit at all times.
2. Provide secretarial and administrative support to the Executive Director and Director, including quality control of a variety of correspondence (often confidential and sensitive), maintaining records, initiating follow‑up action to ensure that deadlines are met, drafting correspondence, filing, screening telephone calls and visitors, scheduling appointments and meetings, preparing and distributing publications and making travel arrangements.
3. Carry out projects, research issues and provide other assistance to Executive as required.
4. Organise conferences and meetings, including coordination and preparation of relevant papers, materials, minutes, transcribing, audio visual requirements and catering.
5. Assist with administrative duties relating to prosecutions and contested DVO applications including assembling briefs and service of evidence.
Selection criteria
Essential
1. Proven effective administrative skills, including the ability to discern sensitive matters, and respect and adhere to the requirements of confidentiality, impartial integrity.
2. Demonstrated high level interpersonal, oral and written communication skills, including with senior management.
3. Proven ability to participate as part of a team (and to work cooperatively) with senior management, staff members and peers in achieving divisional objectives.
4. Demonstrated organisational skills of a high order, including an ability to work under pressure and complete tasks within required time frames, work independently and be flexible, self‑motivated, exercise initiative and attention to detail.
5. Demonstrated experience working in the area of prosecutions and/or legal office.
6. Experience in office procedures and police systems including relevant experience in word processing/database/spreadsheet and computer systems pertaining to the position with a high standard of keyboard/typing skills.
Desirable
1. Experience with SerPro, Evidence.com, Axon Justice and IJIS.
2. Experience with Hewlett Packard Records Manager (HPRM) and Travel Request Information Processing System (TRIPS) or similar systems.
