School of the Environment – Faculty of Science Full‐time (100%), fixed‐term position through to 1July2028.
Base salary will be in the range $83,776.44 – $93,121.41 plus 17% super (HEW Level5).
Based at our StLucia Campus.
Reporting to the International Partner Programs Coordinator, the role is responsible for delivering a wide range of administrative processes in support of team outcomes.
This role involves domestic travel and may require occasional work outside standard business hours, including evenings and weekends.
Responsibilities
* Provides high‐level administrative support and office coordination for the International Programs Team, contributing to effective program delivery and support of academic staff and visiting students.
* Functions as the initial point of contact for enquiries, including responding to routine and non‐routine queries involving interpretation of policy and procedures.
* Competently utilises a range of desktop‐based programmes and management information systems, undertaking slightly complex data entry, retrieval, and document management processes.
* Liaises with staff, students, external stakeholders and community members to maintain relationships which support the operational outcomes for the team, handling a wide range of enquiries and initiating follow‐up action as required.
* Develops and maintains standard operating procedures for the effective and efficient functioning of the office.
* Organises the office financials, for example managing reimbursements and other expenses according to University financial policy and procedures.
* Assists with travel coordination – lodging travel requests, reconciling travel statements, booking flights and accommodation and organising field equipment.
* Organises and supports the functioning of routine and non‐routine events and other activities as relevant to the office.
* Other duties as reasonably directed by the supervisor.
About You
Candidates require effective administration, coordination and interpersonal communication skills, effective organisational and time‐management skills and be committed to providing a high level of customer service.
A degree or diploma with subsequent relevant experience or secretarial administrative experience, or an equivalent combination of relevant experience and/or education training.
Demonstrated skills in providing a high level of customer service, including effective interpersonal and communication skills.
Demonstrated high level of proficiency in the Microsoft Office suite (Word, Excel, PowerPoint and Outlook).
Effective organisational, time‐management and problem‐solving skills to manage competing priorities and deadlines.
Experience working as a team member in a busy environment, contributing to a supportive, friendly and dynamic team environment with a flexible approach and ability to adapt to changing demands and responsibilities.
Working knowledge of University administrative systems, policies and procedures or the capacity to rapidly acquire this knowledge.
