Primary objective
Provide high level administration support and advice to the management team and staff in the business unit to ensure
effective operational management and the delivery of business objectives and outcomes.
Context statement
The Department of the Chief Minister and Cabinet’s purpose is to deliver coordinated policy and priority reform, regional
leadership, and high-quality support to Executive Government. The position reports to the Regional Executive Director, Top
End.
Key duties and responsibilities
1. Providing high quality secretariat support for a range of governance committees and working groups, including scheduling
meetings, drafting agendas and meeting papers, preparing minutes, and establishing reporting protocols.
2. Coordinate, manage and assist in preparing briefings and reports for CEO/Ministerial correspondence, internal reporting,
divisional business plans, annual report, estimates briefs, Legislative Assembly briefs, procurement documentation, and
other ad hoc briefs/reports as required.
3. Support business unit staff in the delivery of activities and outcomes, including travel, administrative functions,
procurement, human resource, financial management, training and record management matters.
4. Undertake special projects required to build regional capabilities and deliver of strategic priorities in the Top End region.
Selection criteria
Essential
1. Knowledge and understanding of ministerial/secretariat processes and procedures, human resource services,
procurement, governance, budget/financial management and corporate administrative processes.
2. Good written and oral communication skills in liaising with various internal and external stakeholders.
3. Experience in preparing high level correspondence, briefings, reports and submissions with a solid focus on attention
to detail.
4. Experience in organising meetings and preparing meeting papers and minutes.
5. Demonstrated ability to work independently or as part of a team, with high level organisational skills, a positive attitude
and the ability to be flexible and adapt to changing priorities.
6. Proficiency in relevant software applications, including Word, Excel and PowerPoint.
Desirable
1. Extensive experience and understanding of regional issues in the Top End.
