About the opportunity
The Faculty of Arts and Social Sciences at the University of Sydney is seeking an experienced Executive Assistant to provide high-level support to the Faculty Executive in a fast-paced and intellectually vibrant environment.
This fixed-term role, available until February ****, offers the chance to contribute to the smooth operation of the Faculty Office by coordinating daily activities, managing priorities, and ensuring professional engagement with staff and stakeholders.
Working at the intersection of academic leadership and operational delivery, the Executive Assistant plays a key role in enabling the faculty's strategic and academic goals.
The position suits someone with strong judgement, excellent organisational skills, and a proactive approach to problem-solving.
Key Responsibilities
Provide high-level executive support to the Faculty Office, including calendar management, correspondence, travel arrangements, and meeting coordination.
Manage day-to-day office operations and administrative activities, ensuring efficient handling of enquiries and documentation.
Prepare agendas, papers, and minutes for board, committee, and sub-committee meetings, and coordinate governance elections and appointments.
Support communication across committee levels and develop governance documentation such as terms of reference and role descriptions.
Build and maintain effective relationships with internal stakeholders across the University and external partners, ensuring professional and confidential communication.
Facilitate the flow of information on behalf of the Executive, monitor follow-up actions, and assist with informed decision-making.
Oversee administrative systems related to finance and HR, ensuring compliance with University policies and procedures.
Maintain effective records and document management systems, and apply University policies to streamline administrative processes.
Coordinate and support the delivery of events, research conferences, workshops, and alumni activities, and undertake ad-hoc projects as required.
About you
Tertiary qualification in Business Administration or equivalent training and experience
Extensive experience in executive-level administration within complex environments
Thrive in a fast-paced environment, managing multiple priorities and adapting quickly to changing demands
Contribute to a collaborative team culture, supporting colleagues and fostering positive working relationships
Strong ability to manage time, prioritise tasks, and meet deadlines under pressure
Skilled in negotiation, conflict resolution, and building effective relationships
Clear and professional communicator with discretion and empathy
High proficiency in Microsoft Office and digital tools, including diary and travel coordination
Knowledge of university structures, governance processes, and academic operations
Independent and proactive approach with sound judgement and confidentiality
Focus on service excellence, continuous learning, and contributing to inclusive team culture
