Experience in HVAC, fire safety, or building maintenance is preferred but not essential for this role.
About the Role
The Service Coordinator plays a central role in our service operations. You are the connection point between our clients, our technicians and our internal team, ensuring every job is scheduled, dispatched, completed and closed out to a high standard.
This is a hands‐on coordination role suited to someone who takes pride in their work, communicates clearly, and enjoys the responsibility of keeping a service portfolio running smoothly. You'll be supported by an experienced team and given the autonomy to manage your portfolio in the way that delivers the best outcomes for clients.
A minimum of 1‐2 years' experience in service coordination or similar roles is required for this position.
Key Responsibilities
Scheduling & Dispatch
* Plan and maintain the PPM (planned preventative maintenance) schedule across your client portfolio
* Dispatch reactive and breakdown jobs promptly, matching the right technician to each job based on skill, licence, location and urgency
* Coordinate technician day plans to support efficient and productive site attendance
* Participate in the after‐hours emergency response rotation
Client Communication
* Act as the day‐to‐day point of contact for assigned clients, including facility managers, strata managers and building managers
* Manage updates within client portals, ensuring job status, ETAs and completion notes are accurate and current
* Provide proactive updates so clients are kept informed throughout each job
* Resolve queries and issues professionally, escalating where appropriate
Compliance & Documentation
* Coordinate AFSS (Annual Fire Safety Statement) inspections and ensure FPAS and AS 1851 documentation is completed and submitted within required timeframes
* Monitor technician licences, inductions and site‐specific compliance requirements
* Ensure service reports, defect notices and certifications are completed accurately and filed correctly
* Process quote requests through to scheduling and completion
* Prepare jobs for invoicing with accurate hours, parts and scope information
* Monitor open jobs, ageing work orders and outstanding client approvals through to closure
* Maintain accurate, up‐to‐date records in the job management system
Team Contribution
* Brief and debrief technicians clearly to support quality on‐site delivery
* Identify opportunities to improve processes and ways of working
