Overview
U Homes L is seeking a highly skilled and experienced Lead Pre-Construction & Site Handoff Coordinator to manage the critical transition phase of all accepted projects. This role requires minimum 5+ years of expertise in contract administration, building permit coordination, and bridging the gap between the office and the construction site.
You will be responsible for the full administrative lifecycle from contract signing to early-stage site commencement, ensuring regulatory compliance and providing essential administrative support to the Site Manager. This position requires a proactive mindset, exceptional organizational skills, and a commitment to meticulous record-keeping.
Key Responsibilities: End-to-End Coordination & Construction Handoff
Contract Administration: Own and manage all pre-construction contracts and documentation, ensuring accuracy, full execution, and compliance with company and legal standards.
Building Permit Ownership: Manage the entire permit application process, liaising with councils and private certifiers to secure timely permit issuance. Proactively resolve administrative hurdles.
Plan Review & Compliance: Review final construction plans and specifications to confirm all regulatory requirements and conditions of the planning permit are met before the site commencement.
Site Handoff & Commencement Coordination (NEW):
Own the Handoff Process: Compile the final, complete project documentation package (contracts, permits, final plans, client selections) and ensure a seamless, fully compliant transfer to the Site Manager.
Early Site Administration: Provide administrative support to the Site Manager during the initial phase of construction, assisting with the processing and tracking of initial site invoices, utilities connections, and basic compliance documentation (e.g., initial site induction records).
Stakeholder Management: Act as the primary liaison between Sales, Estimating, Drafting, Regulatory Bodies, and the Onsite Construction Manager to drive project progression.
Client Service Support: Manage routine client inquiries and updates related to the permit and handoff status, maintaining clear and skilled communication.
Record Integrity: Maintain and audit the master project file in Google Drive/CRM for the duration of the pre-construction and early construction phases.
Requirements
Experience: Minimum 5+ years of specialized experience in contract administration and the building permit process, with proven exposure to the administrative demands of site commencement in residential construction.
Technical Acumen: Ability to accurately read and interpret architectural drawings, construction documents, and regulatory notices.
Compliance Knowledge: Strong practical knowledge of local Victorian building codes and the end-to-end permit/compliance process.
Organizational Skills: Exceptional administrative and time management skills, capable of managing a high volume of complex, deadline-driven project files simultaneously.
Communication: Highly effective written and verbal communication skills for liaising with external authorities and internal teams.
The package is $90,000 – $110,000 Base Salary + 11% Superannuation.
