About the job Commercial Support & Admin Specialist
Role Purpose
This role provides reliable, high-quality execution support across commercial activities, internal administrative tasks, and data management for the Australian leadership team and the 2026 Transformation Program.
As part of the Business Optimisation & Business Support function, the position works closely with the Business Optimisation & Implementation Planner and the Senior Technical Writer. The role ensures that:
Commercial tasks (proposals, follow-ups, pipeline updates) are executed accurately and on time
Internal administrative and coordination tasks for the Country Manager environment are handled efficiently
Monday.com/CRM records are updated, cleansed, and properly maintained
Basic documentation tasks are completed under the guidance of the Senior Technical Writer
Key Responsibilities
Commercial Support
Assemble and format proposals, fee letters, and tender packs using approved templates
Maintain and update pitch decks and commercial templates based on the latest content
Keep the commercial pipeline (leads, opportunities, contacts) updated in Monday.com/CRM
CRM & Monday.com Execution
Perform regular dashboard and board updates to reflect current status
Conduct systematic data cleansing (deduping, fixing errors, standardising names)
Maintain opportunity and task status updates, due dates, and simple action tracking
Upload and attach documents with correct tagging and version control
Support accurate commercial and program-related records to ensure leadership has reliable information
Admin & Project Support (Internal & Executive-Facing)
Assist with internal administrative tasks for the Business Optimisation & Business Support function and the Country Manager environment, including:
Scheduling meetings, coordinating availability, and sending invites
Taking and formatting minutes and action lists
Building and maintaining lists (stakeholders, attendees, distribution lists)
Supporting event-related tasks (workshops, gift lists, RSVPs, follow-ups)
Track program deliverables and action items in Monday.com
Help prioritise and organise day-to-day administrative requests, especially those from executives
Format SOPs, process documents, and guides prepared by the Senior Technical Writer and Business Optimisation & Implementation Planner
Upload, tag, and file documents in SharePoint / Knowledge Hub following naming and metadata standards
Make template updates (text changes, logo updates, layout refinements) under guidance
Draft simple how-to guides or FAQs for review
Training Support
Assist in training session logistics:
Scheduling sessions
Sending invites and materials
Preparing attendance lists
Distribute training documents and links
Maintain training registries (attendance, dates, topics) in Monday.com or SharePoint
Skills & Experience
Experience in commercial administration, executive admin, or project support, ideally supporting senior leaders
Experience with CRM systems or Monday.com (or strong ability/willingness to learn quickly)
Strong attention to detail in both written content and data entry
Excellent written English with a clear and professional tone
Ability to manage multiple priorities and shift between commercial tasks and internal admin
Proficient in Microsoft 365 (Outlook, Word, PowerPoint, Excel, Teams)
Comfortable with documentation, formatting, and following structured standards
Willingness to learn basic technical writing practices and apply feedback
High level of discretion and professionalism when handling confidential or sensitive information
