- Are you an experienced and proactive Executive Assistant looking for your next challenge? We're seeking a highly organised and motivated Executive Assistant to support the Managing Director and lead the coordination of administrative functions._
**ABOUT THE ROLE**
As Executive Assistant to Managing Director, you will act as the trusted right hand to the Managing Director while also supporting a team of administrators across multiple offices. You'll be instrumental in driving efficiency, maintaining high-quality outputs, and contributing to the success of a high-performing division.
**Key responsibilities**
Executive Assistant (EA) to Managing Director
- Provide high-level support to the Managing Director, including managing calendars, timesheets, and expense claims
- Prepare correspondence, meeting minutes, reports, and spreadsheets
- Manage general typing, proposal tracking, and preparation of draft invoices
- Deliver day-to-day support to the broader administration teams as required
- Undertake administrative tasks as assigned by senior management
- Coordinate and delegate administrative tasks across all divisions
- Support the implementation of QMS, WHS & EMS policies
- Monitor completion of tasks, time, and attendance across multiple locations
- Provide leadership, training, and development for all Administration teams
- Represent the company's values and contribute positively as team role model

**ABOUT YOU**
- Proven experience as an Executive Assistant or Senior Administrator
- Experience in construction or similar industry (highly regarded)
- Strong organisational and leadership skills
- Ability to manage multiple priorities with discretion and professionalism
- Ability to work independently
- Excellent written and verbal communication
- Proficient with Microsoft Suite (Outlook, Excel, PowerPoint and Teams)
