STAPS Facility Services Pty Ltd is seeking a full-time Contracts Administrator to join our
team in Ballarat, VIC. In this pivotal role, you will be responsible for managing and
administering a diverse portfolio of commercial contracts, ensuring compliance and
driving operational efficiency across our facility services business.
What you'll be doing
- Drafting, reviewing and negotiating a variety of commercial contracts, including service level agreements, maintenance contracts and supplier arrangements.
- Evaluate the financials and ensure that profitability criteria are met in line with company goals and performance measures.
- Preparation of estimations in line with the company guidelines and protocols while
coordinating with the finance department.
- Monitoring contract performance and compliance, identifying and resolving any issues in a timely manner.
- Coordinating contract renewals, extensions and terminations, ensuring all necessary
documentation is in place.
- Providing contract administration support to internal stakeholders, including project
managers and operations teams.
- Maintaining comprehensive contract records and reporting on key metrics to
management.
- Identifying opportunities to streamline processes and implement best practices in
contract management.
Key Responsibilities:
- Prepare and manage contracts for building services like cleaning, maintenance and
safety checks.
- Work closely with service providers, clients and internal staff to make sure all contracts are clear and followed.
- Help organize tenders by preparing documents and reviewing contractor offers.
- Keep track of contract deadlines, updates and any changes.
- Ensure all contractors meet legal and company requirements including insurances and licenses.
- Maintain contract records and ensure everything is up to date.
- Assist in improving how the company manages contracts and services.
What we're looking for
- Excellent understanding of contract law, procurement processes and contract
management principles
- Solid organizational and prioritization skills, with the ability to manage multiple tasks and deadlines
- Proficient in the use of contract management software and MS Office suite
- Exceptional attention to detail and a problem-solving mindset
- Effective communication and stakeholder management skills
- Bachelor's degree in management and finance.
