Allygroup is seeking a motivated law student or experienced legal administrator for a secondment with a prominent federal government agency.
This position provides a unique opportunity to gain practical, hands-on experience within a dynamic property law team. The candidate will play a key role in supporting a high-volume practice, assisting with complex matters, and contributing to the efficient delivery of legal services in a fast-paced environment. The team primarily works on property law, leasing matters and property dispute resolution.
The contract for an initial 6 months with the option to extend for an additional 6-months. Full-time availability is preferred; however, a 4-day working week may be considered for the right candidate.
Key responsibilities:
* Monitor the property team's positional inbox and work with the paralegal to workflow work within the parameters set out by the team.
* Prepare and manage high volume tasking requests (work orders) to legal service providers (such as in relation to the routine registration of caveats or charges for the purposes of the pension loan scheme, property leasing matters or requests for advice).
* Undertake financial administration work, such as reviewing fee estimates from legal providers within the parameters set out by the supervisor, and getting approvals from supervisor as required.
* Undertake financial administration work, such as reviewing monthly invoices (and corresponding invoice narrations) from legal service providers and coordinating confirmation of receipt of services from property business areas to ensure that the invoices are accurate and can be sent to EL2 to obtain endorsement to pay invoice.
* Collate and present data and contribute to the development of reports. For example, financial and invoicing data as required.
* Filing and record keeping using systems such as Content Manager and LEX under minimal supervision.
* Assist with the preparation of documentation and coordination of stakeholder meetings, such as organising the meeting time and coordinating template documents to be completed by stakeholders prior to leasing meetings with external legal providers.
* Assist the team and wider branch with other ad hoc legal administrative tasks as required. This may also include assisting with simple legal research under the guidance and supervision of more senior staff or assisting the branch with other filing or admin work.
* Take file notes when invited to attend meetings.
* Working closely with an APS 5 Paralegal, whom will be the usual initial point of escalation in relation to completion of tasks.
* Manage administrative matters with external law firms.
Key Skills:
* An interest in numbers and display financial administrative skills to review fee estimates and progress payment of invoices. This is currently done manually using excel as opposed to specific accounting software
* Good attention to detail
* Ability to identify potential routine legal issues will assist with the preparation and processing of tasking requests (work orders)
* The ability to manage competing priorities and work in a high volume team environment
* Good writing and communication skills
* Good stakeholder management skills
* Good keyboard and computer skills with note taking abilities
* Use initiative to improve administrative processes
* Ability to follow direction and procedures
* Property or legal administration experience is ideal, but not essential.
