Deal Assistant & Administrative Support
Responsible for supporting advisers and deal teams in day-to-day operational, administrative, and client-facing tasks. This role ensures deal flow and client service activities run smoothly and efficiently across the team.
Key Responsibilities
* Process account administration tasks, such as account setup, updates, broker transfers, corporate actions. With a focus on compliance requirements for client administration.
* Manage administrative and operational needs for advisers and deal teams, including handling client inquiries and supporting order management.
* Maintain and update account lists; produce client portfolio review documentation, statistical reports, and analyses as required.
* Assist with market-related administration, prepare paperwork for client reviews and transaction execution, and follow up on settlements or failed trades.
* Provide proactive backup and overflow support to team assistants and advisers during periods of high activity or absence.
* Liaise between dealing desks, advisers, clients, internal departments (compliance), and external service providers to ensure seamless information flow.
* Compile and prepare pre-meeting packs (e.g., financial summaries, portfolio performance reports, stock recommendations, research) and assist advisers in post-meeting implementation and ongoing client updates.
Desired Skills & Experience
* 1–2 years' experience in stockbroking, financial planning, equity operations, client services, or similar assistant roles; 2+ years preferred.
* Tertiary qualifications (Bachelor's degree or higher) and RG146 accreditation, or willingness to obtain RG146.
* Experience with financial systems such as IRESS and/or Bloomberg, and familiarity with AML/KYC procedures. Alpine trades and settles through Finclear, and experience with systems such as TC Wealth, TC Ops and Complii are advantages.
* Strong organisational skills, attention to detail, ability to prioritise and multi-task in a fast-paced environment, and excellent time management.
* Excellent interpersonal and communication skills, with proven ability to build rapport and deliver high-level service to clients, including high-net-worth individuals.
* Proactive, professional approach with initiative and ability to work independently.
