The Role
Reporting to the Head of Delivery, the Event Coordinator works collaboratively within the Delivery team to support the planning and execution of a range of B2B exhibitions and events across the Diversified portfolio. You'll be the key administrative and operational point of contact for exhibitors, speakers and sponsors, keeping events running smoothly from pre‐show planning through to post‐event debrief. Key responsibilities include:
* Administration & Event Management: Create and maintain detailed event timelines; manage event logistics, registration and exhibitor data via event management software (Salesforce, EventsAir); manage travel and accommodation for onsite staff; complete post‐event debriefs
* Exhibitor Support & Customer Service: Act as the key operational point of contact for exhibitors, speakers and sponsors; create and manage the online exhibitor manual; draft all exhibitor communications; manage international exhibitor documentation; oversee registration processes
* Operations: Support the setup and execution of event logistics including floorplan management, speaker management, onsite staffing and accommodation; manage the exhibitor services desk; oversee onsite documentation including checklists, run sheets and site manuals; coordinate staff for all feature requirements
* Floorplan & Sponsorship Support: Draft and manage floorplans to meet financial and operational requirements; track sales against the floorplan; set up digital tools to capture sponsorship deliverables; source quotes for sponsorship items; provide support in reviewing sponsorship proposals
* Stakeholder Communication & Reporting: Provide ongoing reports to suppliers, councils and venues; ensure all speakers are briefed and have completed required documentation; assist with Show App content collection; implement and monitor coordinator processes and communicate updates to the wider coordinator team
* Onsite WHS & Continuous Improvement: Ensure Diversified WHS policy is adhered to onsite; drive continuous improvement across the planning and delivery phase; contribute to post‐event debriefs to identify successes, challenges and areas for improvement
Skills & Experience
This role will ideally suit an events professional with a minimum of 3 years' experience in an events or project management environment, who thrives on detail, loves the pace of live events and is ready to take real ownership of their shows. To be successful you will bring:
* Superior attention to detail with strong organisational skills and the ability to manage multiple competing priorities under tight deadlines
* Advanced verbal and written communication skills with a high standard of customer service for both internal and external stakeholders
* Intermediate to advanced skills in MS Office (Outlook, Word, Excel, PowerPoint); experience with Salesforce or event management platforms such as EventsAir highly regarded
* Tech savvy with an appetite to trial and learn new tools and platforms — comfort with technology is essential in this role
* Strong initiative and a proactive approach — you can identify a missed opportunity or potential issue and follow it through to resolution
* A genuine team player who can jump in and support across different events when required, with a 'can‐do' attitude and the ability to remain calm under pressure
* Ability to work autonomously and as part of a team, with strong self‐starter instincts and the capacity to manage your own workload across multiple concurrent shows
* Willingness to work irregular hours as required, including onsite at events
* A relevant tertiary qualification in Events Management, Business, Communications or a related discipline is desirable but not essential
