What you'll be doing
- To provide Secretarial and Administrative services to the Respiratory Medicine Department.
- This includes assisting the team in their clinical roles e.g. scheduling appointments, transcription typing of clinical letters, answering and responding to telephone enquiries, managing referrals, processing invoices, bulk billing, updating and maintaining patient information via databases, coordinating clinics through the patient scheduling system, as well as organising patients files that are required for the Medical teams for Patients Clinics: Children’s Hospital Medical Centre, Outpatient Outreach Orange, CF clinics. Healthroster data entry and roster creation through roster demand template/s for department staff members.
- Coordinate all Telehealth Outpatient clinics bookings for Respiratory Medicine Consultants, contacting patient’s families and ensuring all clinic patients have current/valid referral letter and updated on the system (scheduler/powerchart), chasing up all expired referral letters by following up either with patients family or GP practice.
- Exercising initiative in the application of established day to day work practices and procedures in the Department such as prioritizing workload and ensuring tasks are met within a timely manner.
- Uploading referral letters and any other correspondence in Powerchart.
- Liaising frequently with Outpatients Manager and staff to advice of consultants preferences, in regards to Telehealth/Face to Face patients appointments outcome.
About You
- Demonstrated experience in administration working within a medical workplace
- Demonstrated excellent communication, interpersonal skills and organisational skills, with internal and external stakeholders
- Proven medical terminology and audio transcription experience with accurate and advance keyboard skills
