Downer is seeking an Operations Administrator to join our team based in our offices at Underdale, SA. That role will provide high-level support to two General Managers while ensuring the efficient operation of our Underdale office. This hybrid role combines personal assistant responsibilities with office and facilities coordination, playing a key part in team collaboration and day-to-day operations.

Key Responsibilities

- Provide high-level administrative support to General Managers including diary management, travel coordination, meeting preparation, and expense reconciliation.
- Act as the primary point of contact for office operations, ensuring smooth day-to-day functioning and a professional work workplace.
- Oversee minor facilities management, including liaising with service providers, managing maintenance requests, and coordinating office supplies and equipment.
- Support team engagement activities, onboarding processes, document compliance, and internal communications.
- Demonstrate a proactive approach to anticipating needs and resolving issues, using sound judgement and problem-solving skills to ensure smooth office operations and timely support for the leadership team.

About You

- Proven experience in high-level administration support to senior leaders combined with office operations and facilities coordination in a fast-paced environment.
- Ability to manage multiple, concurrent tasks and projects with the highest levels of professionalism, confidentiality, and service.
- A self-starter mindset that takes initiative to improve processes and maintain a well-functioning office environment.
- Proactive and solutions-oriented, with robust problem-solving skills to anticipate needs, resolve issues, and ensure smooth operations.
- Comfortable liaising with internal teams and external service providers to manage facilities, maintenance, and office resources.
- Aptitude for working in a collaborative environment with a focus on proactive communication, relationship building, and resiliency.
- Strong verbal and written communication skills with proficiency in Microsoft Suite and other collaboration tools.
