About the Role

This role is vital for the seamless coordination and scheduling of service engineers to meet client needs. You will manage planned and reactive maintenance tasks, liaise with stakeholders, and provide administrative support to ensure operational efficiency. This office-based role requires a candidate who processes both strong organizational and communication skills with a client-focused approach.

Key Responsibilities

* Serve as the first point of contact for clients and customers, addressing inquiries and coordinating service requests.
* Schedule and dispatch service engineers to meet client requirements, ensuring efficient resource utilisation.
* Manage ad-hoc and programmed maintenance tasks, including prioritising and assigning jobs.
* Communicate with clients and team members regarding job commencement, progress, and completion.
* Maintain accurate job records in the service management system and ensure timely updates.
* Collaborate with service engineers, facility managers, and team leaders to resolve issues and complete jobs.
* Process and send service reports, generate purchase orders and manage site inductions.
* Assist with billing, invoicing, and compliance record maintenance.
* Participate in team meetings, contributing ideas to enhance processes and efficiency.
* Support general office administration tasks and provide additional assistance as required.

Requirements

* At least 18 months of experience in scheduling, administration, or coordination roles (experience in the electrical or trades industry is advantageous but not essential).
* Excellent interpersonal and communication skills, with a customer-focused mindset.
* Strong organisational skills with the ability to manage multiple tasks and shifting priorities.
* A willingness to learn new software systems.
* High attention to detail and a proactive, solutions-oriented approach to problem-solving.
* Ability to work both independently and collaboratively in a team environment.
* Adaptability to fast-paced and dynamic work conditions.
* Willingness to undergo a medical &/or police check prior to offer
