About the Opportunity
This is an exciting opportunity for a skilled and community-focused administrator to join the John Paul College community. The Administration Officer – Secondary School provides high-quality administrative support to the Secondary School Deans team and reception, with a particular focus on assembly administration, co-curricular attendance monitoring, and serving as a key community contact point during the afternoon and early evening hours.
The role hours are typically 10:00am to 6:00pm, ensuring the Secondary School is professionally supported from mid-morning through to the conclusion of co-curricular programs.
This is a permanent, term-time plus two weeks position, working Monday to Friday.
About the Role
From managing the Secondary School front desk and welcoming visitors, to coordinating assembly administration and monitoring co-curricular attendance, this role plays a vital part in the smooth operation of the Secondary School. The Administration Officer will serve as a key point of parent contact during the afternoon and evening hours – bringing calm professionalism and genuine care to every interaction.
The successful applicant will bring strong organisational skills, excellent communication, and the ability to manage multiple priorities concurrently in a fast-paced, student-centred environment.
This role will also be responsible for:
* Providing consistent reception coverage at the Secondary School front desk, working in partnership with the Student Services Officer.
* Recording and monitoring student attendance at co-curricular activities between 3:00pm and 6:00pm, including sport, music, drama, debating and other after-school programs.
* Serving as a primary point of parent contact during after-school hours, managing enquiries by phone, email and in person with warmth and accuracy.
* Coordinating the administration of Principal's assemblies, including preparation and distribution of run sheets and slide presentations.
* Supporting the Secondary School blazer embroidery process in consultation with the JPC Retail Centre, managing workflows between students, families and the Retail Centre.
* Providing general administrative support to the Deans team, including data entry, document preparation, mail-merge and correspondence management.
* Managing late departures and pick-up arrangements, ensuring accurate sign-in and sign-out records and safe handover of students.
* Liaising with co-curricular coordinators and coaches to confirm attendance expectations, manage exceptions and ensure accurate records are maintained.
* Supporting internal processes in relation to student attendance, purchase orders, expense reconciliation and resource management.

You demonstrate outstanding interpersonal skills and excellent written and verbal communication, bringing a warm and professional presence to every interaction with staff, students and families. You are confident working independently, particularly during after-school hours, and exercise sound judgement in a dynamic, parent-facing environment.
Your resilience and flexibility allow you to manage high-pressure and evolving situations with calm professionalism, while your organisational skills ensure multiple priorities are handled seamlessly and deadlines are consistently met.
Candidates for this role will need to be able to share their relevant and recent experience in:
* Delivering excellent communication, problem-solving and organisational skills with a proven ability to manage multiple concurrent tasks.
* Providing frontline customer service in a fast-paced environment, with demonstrated ability to build effective relationships with diverse stakeholders including senior leadership, teaching staff, students and parents.
* High-level proficiency in Microsoft Office applications (Excel, Word, PowerPoint, Outlook, Teams) and the ability to learn new systems quickly, including school management systems such as SEQTA and Synergetic.
* Working autonomously with a high level of initiative and proactive approach to duty execution, while also contributing positively as part of a wider team.
* Handling confidential and sensitive information with discretion and professionalism.
* Experience in administrative support roles, including data entry, document preparation, correspondence management and records maintenance.
* A demonstrated commitment to achieving excellence in an educational or comparable environment.
