The Executive Assistant is responsible for delivering high-quality executive and administrative support to the Chief of Staff and Managing Director & CEO, ensuring the smooth and efficient operation of the executive office. This role requires exceptional organisational skills, professionalism, discretion, and the ability to manage competing priorities in a dynamic environment. This role would suit someone who thrives in fast-paced environments and knows how to keep the wheels turning behind the scenes.
What you’ll do
You’ll provide high level support to the Office of the CEO, including:
- Prioritise and manage workflow of the CEO Office to ensure timely and professional handling of matters requiring attention.
- Manage the MD & CEO and Chief of Staff’s calendar, coordinating internal and external meetings and appointments with accuracy and foresight.
- Preparing and distributing agendas, attending various meetings, record minutes and action items, following up as required.
- Expense management processes, including recording, tracking and submitting expenses.
- Formatting and visual design of board papers, letters, reports, and presentations. Applying creativity to create compelling visual materials such as presentations and diagrams.
- Coordinate logistics and communications for key internal and external engagements, including travel arrangements, briefing packs, and stakeholder follow-ups.
- Maintain organised systems for managing correspondence, records, and confidential documents to ensure easy access and version control.
- Identify opportunities to improve administrative processes and implement solutions that enhance efficiency and effectiveness.
What you’ll Bring
- Demonstrated experience in providing high level administrative assistance and support to senior executives.
- Experience in managing and resolving conflicting demands including review of work priorities and rescheduling meetings and appointments as required in consultation with affected stakeholders.
- Ability to build strong internal and external relationships and networks.
- Highly developed organisational skills and strong attention to detail, with a demonstrated ability to manage a heavy workload under pressure and meet deadlines.
- Solid capability and proficiency in the use of the Microsoft Office Suite, including Word, PowerPoint, Excel, and Outlook.
