The Role
This is a key support role within our Perth Service division, providing administrative assistance across both our Field Service and Workshop operations. You will be the first point of contact for customers and technicians alike, someone the team relies on to keep things running smoothly, accurately and professionally.
* Be the first point of contact for customers and technicians, handling bookings, scheduling, enquiries and everything in between
* Create, process and close job cards and purchase orders across both Workshop and Field Service, all managed through our industry-leading operating system, Baseplan
* Assist with coordinating Field Service Technicians and sub-contractors
* Run weekly service-due reports and proactively reach out to customers to lock in scheduling
* Maintain the Service Agreements database and assist with quotation preparation
* Process supplier invoices and liaise with suppliers for pricing support
* Prepare reports for customers and management as required
* Keep data entry, paper flows and work procedures accurate and up to date
* Pitch in on special projects and business initiatives as they arise

* A natural customer service instinct, warm, professional and solutions-focused in every interaction
* A friendly and confident phone manner, with strong written and verbal communication skills
* Strong organisational skills and attention to detail, with the ability to juggle competing priorities
* A proactive mindset, you spot what needs doing and get on with it
* Comfortable working both as part of a small team and autonomously when needed
* Competent in MS Office with the ability to pick up new systems quickly, any experience with Baseplan or similar industry platforms is a bonus
* Experience in the industrial equipment, transport or service sector is a bonus, but absolutely not essential
