Introduction headspace is Australia’s National Youth Mental Health Foundation, providing early intervention support for young people aged 12 to 25 across mental health, physical and sexual health, alcohol and other drug services, and work and study support. headspace Coffs Harbour has a vacancy for a Part-Time (21 hpw) position for a Senior Receptionist. This position is available for immediate start and is ongoing subject to funding. Description The Senior Receptionist provides high-level reception and administrative support while coordinating day to day reception operations. The reception team forms part of the wider headspace Coffs Harbour centre team and works to provide professional and confidential administration services to support effective service delivery and day-to-day functioning. It is essential that the reception team ensures the service is perceived by young people as accessible, youth friendly and welcoming. The Senior Receptionist role acts as a first point of escalation for reception staff and supports the Reception Supervisor in ensuring consistent, high-quality service delivery. This position maintains a hands-on operational role while providing informal leadership and coaching to the reception team. As the first point of contact with the public, it is essential that the reception team are courteous, compassionate and able to interact with a wide and diverse population. Skills And Experiences Duties include but are not limited to: Provide day-to-day guidance to Reception staff Act as first point of escalation for queries and operational issues Assist in resolving low-level complaints Monitor appointment schedules and identify gaps or inefficiencies Answering telephone calls and responding to persons presenting at the reception desk in a prompt, polite, calm, respectful and compassionate manner Coordinating the scheduling of appointments with GPs, Allied Health and visiting Specialists, including confirmation of appointments and re-scheduling where necessary Ensuring referrals are up to date Ensuring clinicians receive all relevant documentation in a timely fashion to assist the care of their clients Work collaboratively with other staff to ensure the smooth entry of new clients to the service. A full Position Description is available on our website https://healthvoyage.org.au/ To be considered for this position, candidates will need: Experience in medical practice reception Experience in office procedures and administration duties Demonstrated ability to provide leadership, guidance and support to staff Demonstrated capacity to work effectively as part of a multidisciplinary team Time management and organisational skills with proven capacity to prioritise work commitments A willingness and enthusiasm to gain new skills and a passion to work with youth. Current NSW Working with Children Check (WWCC) or willingness to obtain prior to commencement. Desirable: Experience using medical practice software (particularly Best Practice) Experience working in a youth mental health service.
