Norfolk Lawyers is seeking a highly organised and personable Legal Receptionist to join our dynamic team in Fremantle, Western Australia. This full‐time role is an excellent opportunity for an individual with experience in a similar customer service or administrative position, ideally within the legal industry. As the first point of contact for our firm, you will play a crucial role in creating a positive and professional impression for all our clients and visitors.
What you'll be doing
Professionally and courteously greeting and assisting clients, visitors and other stakeholders, both in‐person and over the phone.
Efficiently managing the reception area and ensuring a clean, tidy and welcoming environment.
Handling a variety of administrative tasks, including processing incoming and outgoing mail, scheduling appointments and maintaining office supplies.
Providing support to the legal team as required.
Maintaining confidentiality and discretion when handling sensitive information.
Managing billing processes for the team and clients.
Contributing to the overall smooth operation of the office.
What we're looking for
Minimum 1–2 years' experience in a similar customer service or administrative role, preferably within a legal or professional services environment.
Exceptional communication and interpersonal skills, with the ability to engage with a diverse range of clients.
Strong organisational and time‐management skills, with the ability to multi‐task and prioritise effectively.
Proficiency in using office equipment and software, including Microsoft Office suite (particularly Word and Outlook).
A good understanding of practice‐management systems and processes (our firm uses Smokeball).
Keen attention to detail and a commitment to providing high‐quality work.
Flexible and adaptable, with a positive and professional attitude and a desire for self‐development.
