As Executive Assistant to the Managing Director, you will provide high-level executive, governance and administrative support within a complex, student-led environment. This pivotal role sits at the centre of the Guild's executive office, supporting the Managing Director and facilitating effective coordination across the Executive and Guild Council.
The role offers a unique opportunity to contribute to governance processes, support elected student representatives, and play a key role in the coordination of information, reporting and communication across the organisation.
What you'll do
* Provide confidential, high-level executive support to the Managing Director
* Act as a key interface for the Managing Director, managing the flow of information, priorities and communications
* Coordinate Guild Council and Committee meetings, including agendas, papers, minutes and action tracking
* Support governance processes, ensuring documentation is accurate, timely and aligned with Guild requirements
* Coordinate responses to Guild Council information requests and reporting requirements
* Prepare and review briefing notes, correspondence and reports
* Track actions arising from Executive and governance meetings to support effective follow-through
* Liaise with elected representatives, staff and University stakeholders with professionalism and discretion
* Coordinate executive-level logistics, including meetings, travel and key activities
What you'll bring
We are seeking a highly organised and proactive Executive Assistant who operates with professionalism, discretion and sound judgement who thrives in a fast-paced environment and enjoys supporting leadership teams.
Essential skills and experience
* Demonstrated experience in an Executive Assistant or senior administrative role supporting a senior executive
* Experience supporting governance processes, Boards or Committees
* Strong organisational skills with the ability to manage competing priorities
* High-level written and verbal communication skills, including preparation of agendas and minutes
* Proven ability to manage confidential and sensitive information
* Strong attention to detail and ability to anticipate and respond to executive requirements
* Proficiency in Microsoft Office and document management systems
