Complete Staff Solutions are recruiting for a Contracts Administrator and Project Coordinator on behalf of our Federal Government Client.

Our client, Defence Housing Australia, manages an expanding portfolio of housing solutions and provides housing for over 17,200 ADF members and their families and administers rent allowance for more than 16,000 ADF members and their families in private rental accommodation. The Contract Administrator and Project Coordinator works under general direction to provide project support for projects being undertaken within the Technical Heritage, Upgrades and Defect (THUD) team. This position works closely with Heritage managers, Technical managers, Project managers and Director Technical Heritage, Upgrades and Defect (THUD) to ensure Defence housing requirements are met.

Overview

Start Date: 1st July 2026

End Date: 12 month casual contract initially with options to extend

Hours/Days: 7.5 hrs per day, 37.5 hrs per week Monday to Friday

Casual Hourly Rate: APS4 Equivalent - $55.78 - $60.32 + super

Location: Newstead, QLD

Reporting to the Project Coordinator Team Leader, and in line with DHA strategic objectives, the Contract Administrator and Project Coordinator has the following key responsibilities:

Ensure contractual administration for THUD projects meet the required probity and governance standards and DHA accounting and document management requirements.

Ensure completion of contractor and consultant invoice payments, including confirming accuracy against agreed contracts and tracking against budgets, reconciling and querying invoices.

Draft procurement and project related documentation which may extend to scopes of work, sourcing consultants and assessing tenders.

Establish purchase orders for the execution of contracts and coordinate contract variations. Ensure Purchase Orders and variations are developed and maintained in accordance with the scope of work and payment schedules defined in the contracts.

Assist with raising and tracking Workflow (JIRA) Project Cases, Property Cases and Procure 2 Pay Cases, to ensure that all cases are reflecting the correct statuses and include the correct information, as per THUD Teams discussion and guidance.

Provide property handover tasks as required, including but not limited to: Assisting with site inspections, including floor plan measurements, taking photos and completing inventory checklists. Update and/or enter required property data into required systems, ensuring complete accuracy and data integrity. Establish and maintain contract and project accounting details in relevant DHA contracts management, project workflow and financial management systems.

Mandatory Requirements

* Exceptional oral, written and negotiation communication skills with the ability to build and maintain positive working relationships with both internal and external staff and stakeholders.
* Ability to apply judgement, knowledge and some discretion in interpreting and applying legislation, instructions, guidelines and procedures.
* Demonstrated experience working autonomously and in a team with general direction to meet tight deadlines and competing priorities while maintaining a high-level of attention to detail.
* Proven high-level organisation, analytical and problem solving and decision-making skills.
* Demonstrated proficiency in using Microsoft suite of products, including creating and maintaining spreadsheets and various internal databases. Demonstrated ability to quickly learn new systems.
* It is a requirement of the position that the occupant holds and maintains a valid drivers' licence.
* Applicants must be an Australian Citizen and hold a minimum Baseline Security Clearance (either active or dormant)
* The candidate be based in, or able to perform the role from Canberra, Brisbane, or Sydney.
* Previous experience in project/contract management within a Construction, Development, Technical, Heritage, Upgrade or Defect industry.
* Previous experience using Atlassian applications of JIRA, Confluence and Technology One.
