About the role
As the Administration Officer, you will play a crucial role in supporting the efficient operations of the Mission & Pastoral Life team at the Catholic Diocese of Sandhurst, located in the vibrant city of Bendigo, Victoria. This full‑time position is responsible for providing comprehensive administrative assistance to ensure the smooth running of the organisation.
What you'll be doing
- Undertake a variety of physical setup, administrative, and support activities that assist the Office of Mission and Pastoral Life in preparing venues, events, and meetings
- Assist in the practical preparation of ritual materials for the celebration of liturgies at organised events and meetings
- Provide administrative support including word processing, data entry, filing, printing, photocopying, and scanning of documents
- Assist with booking venues, catering, accommodation, travel, and other logistics for events and meetings
- Support communication and correspondence processes – including responding to general enquiries, preparing email or mailouts, and assisting with promotional materials or event communications
- Maintain accurate records and databases related to events, attendance lists, and contact information
- Monitor and maintain stock of office and liturgical supplies; prepare purchase requests as directed
- Assist with the setup and maintenance of digital and paper filing systems to ensure efficient record management
- Provide general reception support when required, including greeting visitors and answering calls
- Support the Executive Assistant and team members with other administrative and operational duties as required
What we're looking for
- Proven experience in an administrative or office support role, preferably within a similar organisational setting
- A minimum of 1–2 years of administrative or office support experience is required
- Excellent communication and interpersonal skills, with the ability to interact with a diverse range of stakeholders
- Strong organisational and time management skills, with the ability to prioritise tasks and meet deadlines
- Proficient in the use of standard office software, including Microsoft Office suite
- A flexible and adaptable approach, with the ability to work independently and as part of a team
- A commitment to providing exceptional customer service and contributing to a positive work environment
