About the Role
As an Executive Assistant, you play an important role in providing professional, responsive and confidential support to assigned Executives and their broader teams, so they can focus on their key priorities and deliver value‑adding internal and external customer service. You thrive on adding great value for Telstra by ensuring timely and effective alignment of your Executives' schedules to strategic and business priorities and representing the brand internally and externally.
You will support two executives – the Group Treasurer & COE – Corporate Finance – with extensive diary management, meetings involving many senior internal and external stakeholders, monitoring approvals, email supervision and travel arrangements. Proven ability to work effectively within a team, multitask and meet timelines is essential.
Responsibilities
* Provide consistent, confidential and comprehensive executive support as required, including diary and schedule management, attending relevant meetings, and actioning related tasks.
* Collaborate with the Executives' broader teams and external stakeholders to support event management (including team off‑sites), travel arrangements and accommodation, ensuring alignment with Telstra's policies and procedures.
* Support the Executives in ensuring expense claims and leave requests are processed timely and in accordance with Telstra's policies and procedures.
* Assist with initiatives that improve the function of the team and knowledge sharing across the team, proactively generating ideas for process improvement.
* Utilise sound judgement and knowledge of business units to professionally handle inbound calls, e‑mails and other correspondence, ensuring they are reviewed, actioned and filed in a timely manner.
* Participate in continuous improvement initiatives such as streamlining processes and using the best available technology to enhance efficiency and effectiveness.
* Collaborate with the Executives' team to seek input, redirect urgent issues and complaints, and keep relevant stakeholders and Executives informed of details or outcomes.
* Take ownership for maintaining accurate and up‑to‑date files and documents, ensuring they are organised for quick retrieval of essential information.
* Leverage sound interpersonal skills and knowledge of office administration to collaborate with and guide members of the Business Unit in ad‑hoc tasks in line with Agile and the Telstra Ways of Working.
* Explore alternatives when problem‑solving that gain the support and acceptance of all parties and maximise benefits to the organisation.
Qualifications
* Relevant work experience – preferably in finance but not mandatory.
* Strong organisational skills and ability to multitask.
* Knowledge of MS Office Suite and Workday.
* Highly adaptable and flexible.
* Energy and proactive "can‑do" attitude.
* Strong interpersonal skills and ability to build relationships with key stakeholders.
* Preferred knowledge of Sapphire and Fieldglass.
* Experience scheduling yearly performance reviews.
* Experience managing and organising team off‑sites and workshops.
* Experience managing M&A Management committee papers.
