Overview

The Conference & Events Coordinator role is a part-time, hybrid position based in Camberwell, VIC. The standard pattern is 3 days per week, increasing to 4 days during peak periods (approximately six months per year). Preferred days are Monday, Tuesday, Wednesday and Friday. Some days are in the office with secure parking and easy access to public transport; other days are from home with equipment provided.

Responsibilities

- Conference Secretariat duties, including agenda and minute writing for conference committees.
- Assist conference committees in planning and administering scientific and social programs, ensuring deadlines for program content, speaker confirmation, abstracts, website material and conference app submissions are met.
- Manage speaker communications including abstract submissions, invitations, biographies, photos and other requirements.
- Arrange travel and accommodation for keynote speakers, VIP guests and staff.
- Assist in setting up the events database and administer the Events Air program (abstract submission, registration modules, reporting, agenda building, invoicing and financial management, and website building).
- Collaborate with third-party suppliers for travel, merchandise, accommodation, registration, speakers, exhibitions and venue to ensure smooth delegate experiences.
- Perform duties directed by the Conference Manager within the role’s scope and skills.

About You and Key Selection Criteria

- Extensive knowledge of Events Air software is essential.
- Qualification or equivalent experience in conferencing and event management.
- Excellent organizational skills with the ability to develop and work to timelines.
- Strong written and verbal communication skills across media.
- Strong interpersonal skills for working with a wide range of stakeholders.
- Sound computer skills and problem-solving ability; adaptable and quick to think on your feet.
- Ability to work collaboratively within a multidisciplinary team and in a committee environment.
- Customer service excellence and demonstrated ability to manage stakeholder relationships.
- Experience in a membership-based or not-for-profit organization is advantageous.

Special Requirements

- Occasional attendance at meetings or interstate travel may be required; attendance at conferences outside standard hours may occur with time in lieu approved by the General Manager, Member Experience.
